Maintivo has two dashboards. Admins and owners get full control, finance overview, invoicing, all jobs, team, seats, branding and settings. Engineers get a focused view with just their jobs, the right template and the capture screens, no finances, invoices or company settings.

Maintivo runs on iPhone as an app from the App Store, and as a web app at app.maintivo.com in any browser, on Android phones, iPads and other tablets, and computers. There is no iPad app: on an iPad you use the web app. You can add the web app to your home screen. It is the same account and the same data on both.

A new look and a simpler layout, starting in the web app. Home opens on what needs you: open, overdue and unsigned reports. One plus button starts a report, an invoice or a new unit. Owners get Work analysis, which counts reports by engineer, area, client or work type. Report PDFs have a cleaner finish with page numbers, photos open full screen, and a small question mark beside a field explains what to enter. Yes, in the iPhone app. Capture the whole job, photos, readings, checklist and signature, in basements, plant rooms and new builds with no reception. The record uploads by itself the moment you're back in range, so you never lose a reading. The web app needs a connection and keeps a draft in the browser.

No, that's the whole point. You capture it once, where the work is. There's no second pass at the desk or in the van, which is exactly where time is lost and figures get transposed.

Eight templates are ready-made and waiting for you: Boiler Gas Safety Record, Split AC / VRF F-Gas leak check, Chiller service & F-Gas, HVAC / Air Con service, Air Handling Unit service, Fan Coil Unit service, MVHR, and a general Work Inspection. Anything beyond that, heat pumps and extract fans for example, you build yourself in the five-step template builder: pick servicing, commissioning or inspection, the skeleton builds itself, then you edit the sections and fields and save it to your library for the whole team. Yes. Add a photo to any finding, and record flow, return, pressures and temperatures where the numbers are, so a mistyped figure never sends you back to site.

Yes, on iPhone. Hold the button and say what you found, and it lands in the report as text. It runs on Apple's on-device speech recogniser, so your voice never leaves the phone, nothing is streamed to a server, and it keeps working in a basement or plant room with no signal.

You can only dictate into free-text fields, the findings and the remedial actions. You cannot dictate into a reading, a measurement or a pass/fail: those you enter yourself, deliberately.

There is an optional AI feature, and no, it cannot change your readings. It exists to tidy your free-text findings into a sentence a customer can read, and it is not permitted to do anything else. When you dictate a note, every number in it is replaced with a placeholder before it is sent, so the model is not shown a spoken figure and cannot alter one. A typed note is sent as typed. Every suggestion is checked before you see it, and rejected if it adds a number. It writes prose; it never writes data, and it never asserts a verdict, a pass or a fail.

It is off until you switch it on. You are asked once, plainly, after you sign in, and you can decline and never see it again. The processor is Anthropic, we name them rather than hiding it, your text is not used to train anyone's model, and you can revoke it in Settings at any time. Write every word yourself and you lose nothing.

There are ready-made forms for the Landlord Gas Safety Record (CP12), F-Gas leak checks on split AC, VRF and chillers, MVHR, fan coil units and air handling units. Capture the job on site and Maintivo produces the branded PDF, kept in UK-GDPR compliant cloud storage.

On the F-Gas forms it also does the sum you'd otherwise do in your head: it applies the refrigerant's GWP, converts the charge into tonnes of CO₂e, tells you which leak-check band the system falls into and sets the next due date against the unit.

There's no electrical form, so no EICRs. And Maintivo isn't the Gas Safe Register and doesn't certify anything itself, you're the registered engineer and you remain the competent person; the app is what produces and keeps the record.

You can record refrigerant type and quantity added or recovered, leak-check results and the next-check-due date against each job, with photos, kept together in one place instead of scattered across sheets (F-Gas records must be retained five years). It captures and stores that information; it doesn't replace your F-Gas certification obligations.

You hand over a clean branded record on the spot; always cross-check the fields against the current official Benchmark / HHIC checklist for your appliance.

You can capture your CP1 commissioning readings, checks and photos on site and generate a consistent, branded commissioning record to keep and hand over. Maintivo isn't a CP1 certification body, it records and presents the work, so verify the exact fields against current CIBSE CP1 and BESA HIU test-regime requirements.

Yes, enter measured airflow rates (l/s) room by room against a repeatable checklist and produce a branded commissioning record to leave with the owner. The formal Approved Document F submission to Building Control remains your responsibility.

Yes. Photos are embedded straight into the branded PDF, so the evidence pack commercial and facilities-management clients ask for goes out with the job, not chased up days later.

Yes. Your logo sits on the letterhead and footer of every PDF report and invoice the customer sees, your branding, not the software vendor's. Any logo shape works and nothing gets cropped.

The branded PDF is built as soon as you save the signed job. The owner or an admin then shares or emails it from their phone or from the web app, so it can be with the customer before you've left the drive.

Yes. In the web app the owner can import clients from a CSV or Excel file, or by pasting rows from a spreadsheet. That covers an export from most accounting and job management systems. Maintivo matches the columns for you, shows you only the rows with a problem, and lets you undo the import for 24 hours. Imported clients appear in the iPhone app too.

It stays yours. Before you go, the owner can use Download all my data in the web app settings to save a copy. You can also delete your account from Settings in the app. Check how long you need to keep your records first: gas safety records are normally kept for at least two years and F-Gas records for at least five.

The full inspection and reporting workflow works without it. Invoicing is an optional add-on: an admin generates a fully-branded invoice from a signed report in a few clicks, then sends it out or downloads the PDF, and tracks what's charged, outstanding and paid on the dashboard.

Only admins and owners. Invoicing lives in the admin dashboard and is kept private, engineers on a seat never see invoices, prices or finances.

Yes. You can send or resend an invoice to any address, the client, a different contact, or an accounts department, or download the branded PDF to keep or print.

Yes. On Maintivo's Split AC / VRF and Chiller F-Gas forms you pick the refrigerant and enter the charge in kilograms. The app applies that gas's GWP, converts the charge to tonnes of CO₂e, tells you which leak-check band the system is in and sets the next check due date against the unit in your asset register. On iPhone the owner gets a notification at 90 days, 30 days and again if it goes overdue (optional, switched on in Settings). On the web, what is due shows on the dashboard. Supported refrigerants: R32, R410A, R134a, R407C, R404A, R1234ze, R1234yf, R290 and R744.

No, and we would rather say so. Gas-only apps that do CP12s and boiler services can cost less. Maintivo is £34.99 a month because it does the CP12, the F-Gas leak-check maths with next-due tracking, HVAC, HIU, MVHR and general inspection records in one app, works fully offline in the iPhone app, and keeps engineers out of invoices and prices. If you only ever do gas safety records, a cheaper gas-only app may suit you. If you cover gas and air conditioning, Maintivo replaces two apps.

No. Maintivo produces and stores records, which the owner or an admin sends: the Landlord Gas Safety Record (CP12), F-Gas leak-check records, service and commissioning records and work inspections. The Gas Safe or F-Gas registered engineer carries out the checks, signs the record and remains the competent person. Maintivo is not the Gas Safe Register, not an F-Gas certification body, and does not produce EICRs or any electrical form.

Yes. The web app is at app.maintivo.com. It works in any browser, on Android phones, iPhones, tablets and computers, and you can install it to your home screen. It uses the same account and the same data as the iPhone app. There is no separate Android app in Google Play: Android is served by the web app. The web app needs a connection to save a report; full offline capture is in the iPhone app.

Yes. An engineer on Android signs in at app.maintivo.com in the browser and can add it to the home screen. They fill in the report, take the photos and collect the signature there, and it lands in the same company account as reports made on iPhone. Each engineer needs a seat, the same as on iPhone. The web app needs a signal to save a report; one started without a signal is kept as a draft on the phone until it can be saved.

Maintivo Pro is £34.99 a month for the owner or admin account, with no contract. New subscribers get a free trial: 3 days in the iPhone app, 14 days on the web. You can subscribe in the iPhone app, or by card in the web app. Each engineer you add needs a seat, from £8.99 a month (3 seats £24.99, 5 seats £34.99). Yes, for new subscribers to Maintivo Pro: 3 days when you start it in the iPhone app, through your Apple ID, or 14 days when you start it in the web app, by card. Nothing is charged until it ends. For a trial started on the web, cancel under Plan and billing before it ends. For a trial started through Apple, cancel in iPhone Settings at least 24 hours before the trial ends and you pay nothing. Run a real job through it before you decide.

You can subscribe in the iPhone app, through your Apple ID, or by card in the web app. A subscription is managed where it was bought: an Apple purchase in your Apple ID settings on the iPhone, a card purchase from Plan & billing in the web app.

Yes. A subscription belongs to your company's account, not to a device. Buy it once, in the iPhone app or in the web app, and it unlocks both. You do not pay twice.

No. Maintivo is deliberately narrow, it does inspections and reports well rather than being a heavy business platform. It suits a one-van sole trader as well as a small team.

Those are large business-management platforms built for bigger firms, often long contracts, steep learning curves and features small teams never touch. Bought through the App Store, yes: UK App Store prices include VAT, so the price you see is what you pay. If you pay by card in the web app, the price is the same and the checkout shows the full amount before you pay.

No. You buy a seat for each engineer and invite them by email. They sign in on their own phone and pay nothing. The free trial is for Maintivo Pro, the owner’s plan. Seats have no free trial: a seat pack is charged from the day you add it.

Yes. Seats come as a pack of 1, 3 or 5, and the owner changes the pack from the Team screen when the team changes. There is no minimum number of seats and no fee for changing. For more than five engineers, email support@maintivo.com.

No. There is nothing to book and nothing to pay to get started. Open the app, do one real report free, and decide from that. If you would rather ask a person first, email support@maintivo.com.
