No. There's no training day and no manual, most engineers run their first real job through Maintivo on day one. You set your company details and logo once, and the team just fills in reports.

Maintivo has two dashboards. Admins and owners get full control, finance overview, invoicing, all jobs, team, seats, branding and settings. Engineers get a focused view with just their jobs, the right template and the capture screens, no finances, invoices or company settings.

Maintivo runs on iPhone and iPad and is available on the App Store, so your engineers work on the device already in their pocket. A web version is planned.

Yes. Capture the whole job, photos, readings, checklist and signature, in basements, plant rooms and new builds with no reception. It syncs and sends the report automatically the moment you're back in range, so you never lose a reading.

No, that's the whole point. You capture it once, where the work is. There's no second pass at the desk or in the van, which is exactly where time is lost and figures get transposed.

Eight templates are ready-made and waiting for you: Boiler Gas Safety Record, Split AC / VRF F-Gas leak check, Chiller service & F-Gas, HVAC / Air Con service, Air Handling Unit service, Fan Coil Unit service, MVHR, and a general Work Inspection. HIU and FlatStation has its own dedicated commissioning wizard, one tap from the home screen.

Anything beyond that, heat pumps and extract fans for example, you build yourself in the five-step template builder: pick servicing, commissioning or inspection, the skeleton builds itself, then you edit the sections and fields and save it to your library for the whole team. We'd rather tell you that than pretend every asset is covered.

Yes. Tap “New template” and pick the job type, Servicing, Commissioning, Inspection or Blank / Custom. Maintivo pre-builds the right sections and you edit everything: add or reorder sections, then drop in the fields you need from a ready library (Pass/Fail, Yes/No, photo, temperature, meter reading, rating, text and more), set asset details and a declaration if the job needs one, and save. Yes. Add a photo to any finding, and record flow, return, pressures and temperatures where the numbers are, so a mistyped figure never sends you back to site.

Yes. Hold the button and say what you found, and it lands in the report as text. It runs on Apple's on-device speech recogniser, so your voice never leaves the phone, nothing is streamed to a server, and it keeps working in a basement or plant room with no signal.

You can only dictate into free-text fields, the findings and the remedial actions. You cannot dictate into a reading, a measurement or a pass/fail: those you enter yourself, deliberately.

There is an optional AI feature, and no, it cannot change your readings. It exists to tidy your free-text findings into a sentence a customer can read, and it is not permitted to do anything else. Every number in the text is replaced with a placeholder before it is sent, so the model never sees a single figure and cannot alter one. It writes prose; it never writes data, and it never asserts a verdict, a pass or a fail.

It is off until you switch it on. You are asked once, plainly, after you sign in, and you can decline and never see it again. The processor is Anthropic, we name them rather than hiding it, your text is not used to train anyone's model, and you can revoke it in Settings at any time. Write every word yourself and you lose nothing.

There are ready-made forms for the Landlord Gas Safety Record (CP12), F-Gas leak checks on split AC, VRF and chillers, MVHR, fan coil units and air handling units. Capture the job on site and Maintivo produces the branded PDF, kept in UK-GDPR compliant cloud storage.

On the F-Gas forms it also does the sum you'd otherwise do in your head: it applies the refrigerant's GWP, converts the charge into tonnes of CO₂e, tells you which leak-check band the system falls into and sets the next due date against the unit.

There's no electrical form, so no EICRs. And Maintivo isn't the Gas Safe Register and doesn't certify anything itself, you're the registered engineer and you remain the competent person; the app is what produces and keeps the record.

You can record refrigerant type and quantity added or recovered, leak-check results and the next-check-due date against each job, with photos, kept together in one place instead of scattered across sheets (F-Gas records must be retained five years). It captures and stores that information; it doesn't replace your F-Gas certification obligations.

Yes, build a structured on-site checklist so every commissioning field gets captured and nothing's left blank, which is exactly where warranties get voided. You hand over a clean branded record on the spot; always cross-check the fields against the current official Benchmark / HHIC checklist for your appliance.

You can capture your CP1 commissioning readings, checks and photos on site and generate a consistent, branded commissioning record to keep and hand over. Maintivo isn't a CP1 certification body, it records and presents the work, so verify the exact fields against current CIBSE CP1 and BESA HIU test-regime requirements.

Yes, enter measured airflow rates (l/s) room by room against a repeatable checklist and produce a branded commissioning record to leave with the owner. The formal Approved Document F submission to Building Control remains your responsibility.

Yes. Photos are embedded straight into the branded PDF, so the evidence pack commercial and facilities-management clients ask for goes out with the job, not chased up days later.

Yes. Your logo sits on the letterhead and footer of every PDF report and invoice the customer sees, your branding, not the software vendor's. Any logo shape works and nothing gets cropped.

The full inspection and reporting workflow works without it. Invoicing is an optional add-on: an admin generates a fully-branded invoice from a signed report in a few clicks, then sends it out or downloads the PDF, and tracks what's charged, outstanding and paid on the dashboard.

Only admins and owners. Invoicing lives in the admin dashboard and is kept private, engineers on a seat never see invoices, prices or finances.
