What is Commusoft, and who is it for?

Commusoft is an all-in-one business platform for plumbing and heating companies. According to their website it covers scheduling, dispatch, stock control, CRM and accounting integrations, and it produces CP12 Landlord Gas Safety Records. Pricing is quote based and the standard contract is 12 months. Their own FAQ says the product is built for businesses with six or more staff.

Maintivo is an iPhone app, plus a web app for Android and any browser, for UK sole traders and small trade teams (the owner plus up to five engineers). It captures the inspection on site and produces the branded record, ready for the owner to share or email before the engineer leaves. It does not schedule, dispatch or hold stock.

How do Commusoft and Maintivo compare?

When Commusoft is the right choice

• You have six or more staff, or will within the year. Commusoft say so themselves.
• Someone in the office assigns work every morning. A live scheduling board and dispatch are core to Commusoft and absent from Maintivo.
• You carry van stock and raise purchase orders.
• You want one system from the first call to the final invoice, with your accounts package connected.

If two or more of those describe you, Commusoft or one of the other platforms is the sensible buy.

When Maintivo is the right choice

• You are one to five people and the thing eating your evenings is the write-up, not the diary.
• You want to run a real job through it this afternoon, with no sales call and no onboarding fee.
• You do not want a 12-month commitment to a tool you have not used yet.
• Your engineers work in plant rooms, basements and new builds with no signal.
• You do air conditioning or refrigeration as well as gas, and you want the F-Gas maths done for you.
• You do not want engineers seeing prices, invoices or margins.

What does a six-person platform give a three-person firm?

A platform built for six or more staff assumes there is an office. Someone to build the schedule, someone to check the stock, someone to reconcile the accounts. In a firm of three, that someone is you, at nine at night.

The features are not useless at that size. They are just paid for twice: once in the subscription and again in the hours it takes to keep them fed. A scheduling board with three engineers on it is a WhatsApp group with a monthly fee.

Maintivo makes the opposite bet. It assumes the engineer is the office. The forms are ready made, the report goes out from the van, and there is nothing to configure before the first job. The admin adds the logo and sets the engineer names. That is the set-up.

Can you try Commusoft before you sign?

Not on your own, at the time of writing. Commusoft's website offers a demo with their team rather than a self-serve trial, and the standard term is 12 months. That is normal for a platform of its size. It does mean you are choosing on a demo, not on a job. Maintivo's first report is free, and nothing is charged during the Pro free trial. Run a real CP12 or F-Gas leak check through it and decide with the PDF in your hand.

What does Maintivo do that a form builder does not?

Commusoft produces a CP12 and puts your logo on it. So does Maintivo, with the reg 26(9) checks, combustion analysis, a Benchmark commissioning form and a warning notice. Where the two part company is refrigerant. On the split AC/VRF and chiller forms you pick the gas, say R410A or R32, and enter the charge in kilos. Maintivo applies the GWP, converts it to tonnes CO₂e, works out the leak-check band and writes the next check due against the unit in your asset register. It then reminds the owner at 90 days, 30 days and overdue, as an iPhone notification. Commusoft's website does not describe that calculation at the time of writing.

What does Maintivo not do?

No scheduling board, no dispatch, no stock or purchasing, no CRM and no accounting. No electrical forms, so no EICR and no Electrical Installation Certificate. No Play Store app: Android phones use the web app, which needs a connection. Maintivo produces and stores the record, and the owner sends it. The engineer signs it and remains the competent person. Maintivo never certifies anything.

It does not do scheduling, dispatch, stock, CRM or accounting, so firms that depend on those should stay with Commusoft.
