How does a job report become an invoice?
You invoice from the job sheet you have already done. The details you typed on site carry across, so nothing gets typed twice.

Finish the report on site
Fill in the job, add the photos and get it signed, as you do now with the job sheet app or the work inspection app. Signed jobs with no invoice yet are flagged, so nothing slips.

Turn it into an invoice
The client, the site and the numbers are filled in for you from the report.

Add your charges
Add what you are charging, choose VAT or none, take a deposit if you want one, and set the payment terms. Your bank details are on it.

Email it from the app
The customer gets a branded invoice PDF, with a note from you if you want to add one.

See what is paid
Mark it as paid when the money lands, and see what is paid and what is still owed.

What job details go on the invoice?
Every invoice made from a report carries the job details together in one place, so your customer’s accounts team can match it to the right job and the right order.

Do you still need a trade invoice template with a PO number box?
No. Instead of copying the PO number from an email into a template, you fill it in once and it goes on the invoice with the report number and the site. When you choose the site, a one-tap “used for this client” list shows the sites you have used for that client before, so repeat customers with several addresses take a second.
Is Maintivo a VAT invoice app for trades?
Yes. You can add VAT or leave it off, take a deposit and set your payment terms, all on one invoice made from the job.

What happens to an invoice once it is sent?
It stays on record. Only drafts that have never been sent can be deleted. A sent invoice is cancelled instead, so there is always a record of every invoice that went out.
Who in your team can see invoices?
You, the owner, see every invoice. Engineers do not see invoices or prices; they get on with their reports. If you want your accountant or bookkeeper to help, you can give your accountant access to your invoices with their own free login, after they sign a confidentiality agreement with your company.

Xero sync Coming soon
Sent invoices, customers and payments will appear in your own Xero, with the report PDF attached. Read about the Xero connection.
How much does the invoicing app cost?
Invoicing is £9.99 a month, added to Maintivo Pro at £34.99 a month for the owner. On your own, that is £44.98 a month for reports and invoices. It is monthly with no contract, it is not part of the Pro trial, and it is charged from the day you add it. Your first report is free. All the team prices are on the pricing page, and everything else Maintivo does is on the features page.

Yes. Start a blank invoice and fill it in yourself. Making it from a finished report simply saves you typing the client, the site and the numbers.
Yes. When the customer's purchase order number or works order number is filled in, it appears in the job details on the invoice, next to the report number and the site address. If it is not filled in, it is left off.
Yes. You can add VAT or leave it off, so it works whether or not your business is VAT registered.
