What goes on a boiler service record?
A good boiler service record shows enough that the next engineer, the manufacturer or the customer can see exactly what was done. The boiler service form in Maintivo has a place for each of these, and you decide what goes in them:
- The customer, the property and the date of the visit
- The appliance: make, model, serial number, location and flue type
- Combustion analyser readings, operating pressure or heat input, and the checks carried out
- What you found, what you did, parts fitted and any advice given
- Photos: the data plate, the flue terminal, the analyser screen, anything you changed
- The engineer’s name and signature, your Gas Safe number and company details, and the customer’s signature
Where the manufacturer asks for the service section of the Benchmark checklist to be completed, complete that as well. Maintivo gives you your own dated record of the readings and photos alongside it.
Service and gas safety check on one visit
A landlord gas safety check and a boiler service are two different jobs, even when you do them in the same visit. In Maintivo they are two forms: the gas safety record and the boiler service record, each with its own PDF, so the landlord can see both were done.
Next year’s service, already on the list
Add the boiler to the equipment register and it carries its history and its next due date. The owner can get an iPhone notification at 90 days, at 30 days and when it is overdue, and start next year’s visit from the unit with the details already filled in.
Works in the loft with no signal
The iPhone app saves the whole visit on the phone, readings, photos and signatures included, and uploads it when you are back in range. Android phones, tablets and computers use the web app at app.maintivo.com, on the same account.

You are the Gas Safe registered engineer and you remain responsible for the work and what you record. Maintivo does not certify anything. It makes sure the record is complete, legible, signed and easy to find again.

Maintivo Pro is £34.99 a month for the owner or admin account, with a free trial and nothing charged during it. You can subscribe in the iPhone app, or by card in the web app. Each engineer you add needs a seat from £8.99 a month, and invoicing is an optional £9.99 a month add-on. No minimum seat count and no exit fee.
Common questions
HSE says gas appliances should be serviced in line with the manufacturer’s instructions, or once a year if there are none, unless a Gas Safe registered engineer advises otherwise (checked 18 October 2026). Many boiler warranties also depend on an annual service.
No. The landlord gas safety check confirms appliances and flues are safe and produces the gas safety record. A service is maintenance to the manufacturer’s instructions. Many engineers do both on one visit, but they are recorded as two jobs.
Yes. Open the boiler service form, fill it in as you work, add photos and readings, and you and the customer sign on the screen. The PDF with your logo is ready to email before you leave.
No. Where the manufacturer asks for the Benchmark service section to be completed, complete it as well. Maintivo gives you your own record of the readings, photos and signatures, which is useful if the booklet goes missing.
