What is a CP12 (Landlord Gas Safety Record)?

Where does the name CP12 come from?

CP12 was the form number on the old CORGI gas safety record, and the trade never stopped using it. The correct name today is the Landlord Gas Safety Record, often shortened to LGSR. Landlords, letting agents and tenants still ask for "the CP12", so both names refer to the same document.

Who has to have one?

Any landlord who provides gas appliances, flues or pipework in a property they let. That covers private landlords, letting agents acting for them, housing associations and local authorities. The duty sits with the landlord, and the check must be carried out by an engineer on the Gas Safe Register, which is the official register of gas engineers in Great Britain.

How often is a gas safety check needed?

At least once every 12 months. The regulations require each gas appliance and flue provided by the landlord to be checked for safety within 12 months of installation and at intervals of no more than 12 months after that. Many landlords book it slightly early so the anniversary date does not slip.

What does the check cover?

The engineer checks each gas appliance the landlord provides and its flue: that the appliance is operating correctly and safely, that the flue is clear and removing combustion products, that there is adequate ventilation, and that the gas pipework is sound, usually by a visual inspection and a tightness test. Appliances the tenant owns are not part of the landlord's duty, though the pipework serving them is.

Who gets a copy, and when?

Existing tenants must be given a copy of the record within 28 days of the check being carried out. A new tenant must be given a copy before they move in. The landlord has to keep each record for at least two years. In practice most landlords keep them for longer, because the record is what an agent, insurer or inspector asks for first.

What happens if a landlord does not have one?

The check is a legal duty under the regulations, enforced by the Health and Safety Executive. Failing to carry it out or to give tenants their copy can lead to prosecution, and the absence of a valid record can complicate matters such as eviction proceedings. It is not a formality.

Can a CP12 be done on a phone?
