Maintenance history by property, kept flat by flat
Maintivo keeps maintenance history by property for you: every site address on a report is saved to your list of sites automatically, and each site shows every report at that address, newest first. Each flat or unit is its own site, so a block of flats keeps the history of every flat separately.

- Every site address on a report goes into your list of sites by itself. Nobody has to set it up.
- The Sites screen has a search. Open a site and every report at that address is there, newest first.
- Each flat or unit is its own site, so a block keeps a separate history for every flat.
- Pick a saved site in one tap. Choose the client first and their past sites are shown.
- Owners and admins can name, edit or delete a site. Past reports keep the address they were written with.
- Invoices show the site address, the report number and the customer's works order and PO numbers.
What is maintenance history by property?
It is the list of every visit, check and repair at one address, in date order. A contractor needs it before knocking on the door. A block manager or managing agent needs it when a leaseholder, an insurer or a board asks what has been done.
In Maintivo you do not build it. It builds itself from the reports your engineers already write, because every report is tied to the site it was done at.
How do I see the maintenance history for one property?
Open the Sites screen and search for the property. Open the site and every report at that address is listed, newest first. That is the job history per site, with no spreadsheet to keep up.
How does a property get onto the list of sites?
By being written on a report. Every site address on a report is saved to your company's list of sites automatically. Next time, nobody types it again:
- Pick a saved site in one tap when you start a report.
- Choose the client first and a “used for this client” row shows that client's past sites, so the right address is at the top.
How are flats in a block of flats kept separate?
Each flat or unit is its own site. Flat 3 and Flat 4 in the same building, with the same postcode, are two sites with two histories. That is what block of flats maintenance records need: the boiler service in one flat never gets mixed up with the leak in the flat below.
Maintivo only stops to ask “Is this a site you already have?” when the postcode is the same and the address is the same but written differently, such as “Sq” and “Square”. It never asks for different flat numbers. Here is how that plays out, with made-up addresses:
| Address already saved | Address on the new report | What Maintivo does |
|---|---|---|
| Flat 3, 12 Albion Square | Flat 4, 12 Albion Square, same postcode | Saves Flat 4 as a new site of its own. No question asked. |
| Flat 3, 12 Albion Square | Flat 3, 12 Albion Sq, same postcode | Asks “Is this a site you already have?” so the history stays in one place. |
| Flat 3, 12 Albion Square | Flat 3, 12 Albion Square, picked from the list | Adds the report to the same site’s history. |
What if a saved address is wrong or changes?
Owners and admins can name, edit or delete a saved site. Naming helps when a building is known by its name rather than its number. Past reports keep the address they were written with, so tidying the list never rewrites a record a client already has.
What does the managing agent or block manager get?
A branded PDF for every visit, with your logo, the client and site address, the findings, photos and signatures. Because each report sits against its site, you can answer “what was done at Flat 6 this year?” by opening the site rather than searching an inbox.
If you use the optional invoicing, the invoice shows the site address with the report number and the customer's works order and PO numbers. That is the detail managing agent maintenance reports and invoices are usually matched on.
Who can see and change the sites?
Owners and admins look after the list: naming, editing and deleting sites. Engineers on their own phones see their own jobs only, and never prices or invoices. More on how the team side works on the pricing page.

A property maintenance records app for both sides of the job
Trades and M&E contractors
Know what was done at a property before you arrive. Open the site and read the last visit. Works for HVAC, gas, plumbing and heating, BMS service reports and any M&E work.
Block managers and managing agents
A signed PDF for each visit, tied to the right flat or unit, and invoices that carry your works order and PO numbers. Ask your contractor for the history of a property and it is one site to open.
The office
Answer “when were we last at Flat 6?” with a search, not a ring-round. Reports from engineers on site appear on the office screen as soon as they upload.

One of the reports Maintivo produces (this one is an F-Gas leak check). Every report carries your letterhead, the client and site, your findings and both signatures, and is kept in that site's history.
On your iPhone on site. On Android, a tablet or the office computer too.
One account for the whole firm. A report an engineer finishes on site is on the office screen as soon as it uploads, and a customer added at the desk is on every phone.
- iPhone: the app. It works with no signal and uploads when you are back in range.
- Android phones, iPads and other tablets: the web app at app.maintivo.com. Add it to the home screen and it opens like an app.
- Laptop or desktop: the same web app on a big screen, for reviewing reports, clients, invoices and the team.
- Always in step: the same reports, customers and PDFs everywhere. One subscription covers all of it.

What else comes with it?
Site history is part of every Maintivo account, alongside ready-made forms, job sheets, work inspections and an equipment register with due dates. Facilities teams looking after several buildings will find more on the facilities management inspection app page. See every feature.
